Our Commitment on Privacy
At the Open Mobility Foundation (OMF) we are committed to protecting your privacy and personal information; building and maintaining trust and sharing best practices to help municipalities and communities do the same. As a non-profit, open-source organization, prioritization of individual privacy is one of our key values as we gather public, private and non-governmental organization (NGO) stakeholders to meet our mobility policy goals.
We strive to serve as a demonstration and testing ground for data protection policies and standards, particularly those developed by our members. We do this in a rapidly changing technical and policy environment in the mobility space. This is a good thing. We will raise standards of privacy for individuals while recognizing that our member municipalities have divergent cultural and legal mandates related to privacy. This Privacy Statement (“Statement”) applies to the personal information we collect from our member organizations, their representatives, our website visitors and any individuals who may choose to interact with us. OMF will continue to update this Statement, and our practices as additional requirements, issues and opportunities arise.
Collection and Use of Personal Information
OMF may collect personal information about you as you join our organization, visit our website, interact with us and participate in our programs. “Personal information” is any information that can be used to identify an individual, and may include name, postal address, e-mail address, phone number, log-in data (account name or number, password), location and IP address data, marketing preferences or social media data.
We use the personal information we collect about you in furtherance of our mission and open-source standards activities. Categories of such use would be:
- To engage, interact and communicate with you regarding OMF, our mission, members, events, standards and services;
- To create, share, maintain, improve and promote OMF initiatives and services;
- To host collaborative working groups, and provide access to materials and subject matter communications to contributors and group stakeholders;
- To collect, maintain and display official records of your technical contributions, such as group membership, leadership, and contributions by mail list, document repository, collaboration platform or teleconference;
- To enable members to create and maintain an account;
- To communicate and document any commitments made in furtherance of our mission, groups and projects;
- To maintain our membership needs including to assess/collect membership fees, operate our governance structure and interview and assess prospective members;
- To provide plans and information regarding our meetings, announcements, events and member benefits;
- To send promotional outreach and announcements to you if you have chosen to receive such communication. Please note that you have the right to withdraw or change your preferences for marketing communications at anytime;
- To manage OMF organizational needs including employment and employment application needs, events management, sponsorship and where relevant, payment processing needs;
- To enable and facilitate your visits to our website(s) and better understand and improve our web pages, features and content including information from and about your visit such as the device used, your operating system, IP addresses or browser type and version;
- To protect OMF as an organization, OMF members and meet legal mandates as permitted or required by applicable law.
Instances Where OMF May Share Your Personal Information
OMF may share your personal information in the course of our governance and management activities. We limit such sharing to the minimum necessary information required to serve our mission driven needs. We may disclose information, including your personal information, in the following instances:
- For operational and business needs with the OMF board, member organizations, committees, working group participants and contributors;
- With OMF vendors, consultants or service providers so they may carry out services on our behalf. We will only provide personal information to these organizations when required for them to provide services and such organizations are contractually required to protect your information and limit its uses to the purposes for which it was shared;
- With co-sponsors and partners in cases where OMF jointly administers a program or service with a disclosed partner. We do not share personal information to anyone for non-OMF marketing purposes;
- Where required or permitted by law to comply with a legal mandate, law enforcement request, subpoena or similar legal process if we reasonably believe such disclosures is in accordance with applicable law and competent authority;
- Where disclosure is reasonably necessary in our good faith belief to protect OMF rights and interests; physical or intellectual property; safety of our personnel, members, vendors or others;
- For consideration or during the course of a merger, acquisition or possible dissolution of all or a part of our organization or assets;
- In aggregated, anonymous and/or de-identified form which cannot reasonably be used to re-identify personal information;
- If we otherwise notify you and you consent to the sharing.
The Security of Your Personal Information
OMF takes appropriate measures to protect the personal information entrusted to us and treat it securely in accordance with this Statement. We implement physical, administrative, and technical safeguards designed to protect your personal information from unauthorized access, use, or disclosure. Although we implement these and other controls designed to protect your personal information, it is impossible to guarantee against every security compromise.

Retention of Your Personal Information
We will only retain your information as long as we have a business need for it in order to carry out OMF operations, to satisfy our mission and to enforce our rights. Subject to applicable law, such retention needs may continue even after you choose to cancel your membership or stop receiving ongoing communications from us.
The archived records and content of your contributions are generally retained in perpetuity for legal licensure, public policy and record provenance obligations that apply to OMF technical or policy contributions.
Cookies
When you visit or navigate through our website, we may collect analytics and other data from your browsing session through cookies, web beacons and similar tracking technologies. Cookies are generally small data files stored on your device that enable us to analyze trends, save your information and preferences, and track activity or interactions with our websites. Cookies enable us to save your personal information and preferences and to improve your overall browsing experience. Similarly, web beacons (also known as gifs, pixels or tracking tags) are electronic images that we may use on our website or emails to, for example, determine effectiveness, information delivery or understand usage.
Personal Information from Children
OMF does not knowingly collect personal information from children. Our mission is not geared towards children and we do not provide any content directed at them.
If you have reason to believe a child under the age of thirteen (13) has provided personal information to OMF, please contact us immediately at omf_admin@openmobilityfoundation.org and we will delete all such data.
Changes to this Statement
This Statement may be updated from time to time to reflect our changing membership, regulatory or operational requirements. We encourage you to periodically review this page for the latest information on our privacy practices. When we make changes, we will revise the date at the top of this Statement or notify you through an announcement or email communications.
